Camp and Course Policies at the Lab

Pricing and Payment

• Payment, which is due in full at time of registration, is accepted via credit card (MasterCard, Visa, American Express)

Enrollment

This year we are excited to partner with CampDoc, a third party program we will be using to collect and consolidate student registration information in order to streamline the registration process, and enhance the parent and guardian experience while your child is participating in our program(s). CampDoc will give parents and guardians full access to their own participant portal which they can log into at any time to view course details and information, and previously submitted documents.

Once a course has been purchased on the JBFC website, an email from CampDoc will follow within a few days with instructions on how to create a CampDoc account and submit additional required registration information, such as an updated immunization record, a list of allergies, names of individuals who are authorized to pick your child up, doctor and insurance information, etc., and the deadlines by which this information must be received.

• Enrollment is complete when a course session has been purchased on the JBFC website and all required information has been submitted to CampDoc and you have received a confirmation email. If a Scholarship Application (if applicable) has been submitted, enrollment is complete when a scholarship has been awarded and all required registration information has been submitted to CampDoc and you have received a confirmation email.
• Registration is on a first-come, first-served basis. If your desired course is full, there will be a waitlist and you will be notified if space becomes available.
• The JBFC reserves the right to cancel any course due to insufficient enrollment or other circumstances. If a course is cancelled, registrants will be notified immediately and all fees will be refunded. The JBFC cannot be held responsible for any other costs, charges, or expenses.

Refunds
If a student is asked to leave a course due to inappropriate behavior or other circumstances deemed necessary by the JBFC, no refund will be given.

• After-School Courses: Withdrawal before the start of an after-school course will receive a 100% refund of the program fee. NO refund will be given on or after the start date of the course. If the JBFC cancels a course due to insufficient enrollment or other administrative reasons, all fees will be refunded. No refund will be given at any other time.
• Summer Camp: Withdrawal two weeks before your child’s first day of camp will receive a 100% refund of the program fee. NO refund will be given within two weeks before the start of camp or after your child’s first day of camp has begun. If the JBFC cancels a camp course due to insufficient enrollment or other administrative reasons, all fees will be refunded. No refund will be given at any other time.

Student Accommodations
The JBFC is committed to meeting the needs of all students to the best of our staff’s abilities. To provide an optimal learning environment for all participants, clear communication between our education team and parents and guardians is a must. We urge you to let us know if your child has an IEP at school or requires any special accommodations so that we may provide the proper support and ensure a positive experience for your child.

JBFC Courses at the Lab COVID-19 Health and Safety Policy

To provide a safe, in-person learning environment for all students, the Jacob Burns Film Center is currently requiring the following for its courses held at the Media Arts Lab: **Please note that these guidelines are subject to change.**

Vaccinations

• Students are not required to be vaccinated against COVID-19 to attend courses at the Lab.

Masks & Social Distancing

• Masks are optional. KN95s will be provided upon request.
• Social distancing is not required, though will be available for snack times if requested by students.

Cleaning & Disinfecting

• All classrooms and high touch surfaces will be regularly cleaned and disinfected.
• Hand sanitizer will be provided in all common spaces.

COVID-19 Symptoms & Exposure Protocol

• We continue to follow CDC guidance with regards to isolation and testing after exposure:  https://www.cdc.gov/media/releases/2021/s1227-isolation-quarantine-guidance.html
• Students experiencing any of the following symptoms will not be allowed to attend the course: cough, fever, shortness of breath, new loss of taste/smell. 
  1. If a student is currently at the Lab and begins experiencing any of these symptoms, a parent or guardian (if applicable) must pick them up as soon as possible.
• If someone in a course comes down with COVID-19, here is the JBFC’s protocol:
  1. Affected student must isolate for a mandatory minimum of 5 days, and may return to class afterward, masked, if they have been fever-free for 24 hours. Please follow the updated guidelines here : https://www.cdc.gov/coronavirus/2019-ncov/your-health/isolation.html
  2. We will send out an email as soon as possible alerting all exposed students and their parents/guardians.
  3. For students who have been exposed to COVID-19, it is strongly recommended to wear an N95/KN95 or comparable quality mask until having received a negative COVID-19 test. KN95 masks will be provided upon request.
  4. We encourage that any individual exposed to COVID-19 take a COVID-19 test before returning to the JBFC campus.

Summer Camp Frequently Asked Questions

Are vaccinations required to attend the JBFC’s Summer Camp?

• Campers must be fully vaccinated according to New York State’s recommended immunization schedule.
• COVID-19 vaccinations and a current booster are NOT required to attend camp. For more information, please read our Health and Safety Policy below.

What is the schedule like at the JBFC’s Summer Camp?

• The camp day begins at 9:00 am and ends at 3:00 pm. It is broken into four periods, with an hour-long lunch at noon.
• There are also two 20-minute snack breaks, one in the morning and one in the afternoon. Camp is peanut and tree nut free.
• The first day will begin with a full camp introduction, after which age groups will separate and work independently for the rest of the session.
• One day during the week, all campers will visit our Theater to see a feature film.
• On the last day of camp, parents and siblings are invited to a screening of the course work, presented by the campers themselves.

How long is the Summer Camp program? Can I attend more than one session?

• Each Summer Camp session is two weeks long (10 days) with the exception of Filmmaking Camp (July 1—July 12, 2024) which is 9 days long due to the July 4th holiday, and Storyville which has two, one-week sessions.
• Campers can attend as many sessions as they’d like. The films and animations created are brainstormed anew each session, and as such will differ vastly from week to week.

Do I bring my lunch? Can I leave campus to buy lunch in Pleasantville?

• Campers are encouraged to bring a bagged lunch and one snack to camp each day. Food cannot be refrigerated, so please plan accordingly. Lunch will not be provided by the JBFC.
• The second snack of each day is popcorn, and is provided by the JBFC.
• Pending parent approval, high school students are allowed to leave campus during the lunch hour to buy food. We ask that they bring the food directly back and eat on campus.

I have a food allergy? Is it safe to attend Summer Camp?

• JBFC Summer Camp is a Peanut and Tree Nut free program.
• If you have a food (or other) allergy, please let us know and we will do our best to accommodate.
• If the allergy is serious, we require an EpiPen be kept on hand with our Camp Director in case of emergencies.

Does the JBFC offer financial aid?

• A limited number of full scholarships are available for the 2024 Summer Camp season. If you are interested in a scholarship, please contact us by email at registrar@burnsfilmcenter.org.
